Service Coordinator - Construction Administration

We are seeking a highly organized and detail-oriented professional to join our team as a Service Coordinator. This role requires strong communication skills, a customer-focused mindset, and proficiency in Microsoft Office software, alongside the ability to manage administrative processes effectively in a fast-paced environment.

Key Responsibilities:

  • Maintain accurate and up-to-date records of special vendors, ensuring thorough documentation and backup for all correspondence and service transactions through to completion.
  • Process service vendor purchase orders (POs) and ensure invoices are approved in time for end-of-month service billing.
  • Follow up with service vendors to collect invoices, enabling timely work order (WO) billing by month-end.
  • Uphold the integrity of service contract files, ensuring compliance and proper documentation standards.
  • Provide support as a backup to the Contract Coordinator when required.
  • Respond promptly to requests for information or undertake additional projects assigned by management.
  • Regularly review and update administrative reports, improving operational efficiency and accuracy.
  • Interact professionally with customers to deliver exceptional service, ensuring their satisfaction in all aspects of contract administration.
  • Adhere strictly to company policies and procedures while preserving confidentiality in all processed information.
  • Collaborate with other coordinators to assist with follow-ups and joint tasks as needed.

Qualifications and Skills:

  • Proficient in Microsoft Office applications, including Word, Excel, and Outlook, with experience in PC-based word processing, spreadsheet creation, and database management.
  • Practical knowledge of standard office and accounting practices.
  • Exceptional communication, interpersonal, and customer service skills for interfacing effectively with customers and construction personnel.
  • Strong organizational, detail-oriented, and time management capabilities.
  • Fire Protection industry experience is a plus.
